About You

This role suits a confident and capable Family Lawyer who can manage a file from start to finish, from initial client meeting through to final resolution, including court appearances. Shape the Workplace and Client Experience in a Growing Legal Services Group

Are you an experienced Office Manager who enjoys creating workplaces where both colleagues and clients have a genuinely positive experience? This is an opportunity to play a central role in the day to day running of a growing legal services group while helping to continuously improve how our workplaces operate.

At Roberts Legal Services Group we have two specialist law firms; Delaney Roberts Specialist Family Lawyers and Roberts Crosbie Mortensen Lawyers. Our firms handle complex legal matters with high professional standards while maintaining a strong People First culture.

Whilst our firms practice separately, we operate as one team with shared values, culture and support functions including operations, people and culture, sales and marketing and finance.

That focus on people and experience requires thoughtful coordination, which is why we are looking for an Office Manager who enjoys taking ownership of how the workplace operates and who brings ideas for improving how we support both our team and our clients.

Based in Newcastle, you will oversee the coordination of our offices while working closely with the senior leadership team. The role requires frequent travel to our Sydney office, approximately once per month.

About the Role

This role combines operational coordination with the opportunity to enhance how our workplaces function and how our team experiences the environment they work in.

Some of your key responsibilities will include:

  • Managing the day-to-day operation of our Newcastle office and supporting coordination with our Sydney office
  • Overseeing reception, meeting rooms and general office presentation
  • Coordinating facilities, suppliers, building management and maintenance
  • Managing office supplies, equipment and workplace assets
  • Supporting onboarding and offboarding of team members including workplace setup
  • Assisting with leave management administration and maintaining HR records
  • Supporting workplace health and safety administration and compliance requirements
  • Assisting with the coordination of employee recognition programs and team events
  • Supporting internal meetings and general office administration
  • Liaising with external providers including IT support, building management and suppliers
  • Identifying opportunities to improve how the office is coordinated and the workplace experienced.

About You

You will likely bring:

Precedents & Process Development Assistant (3 days per week)

At Roberts Legal Services Group Pty Limited (t/as Roberts Crosbie Mortensen Lawyers and Delaney Roberts Specialist Family Lawyers), we are passionate about demonstrating excellence and putting our People First. One of the ways we do this is by building the systems, processes, and precedents to ensure our teams consistently deliver outstanding legal services.

We are looking for a Precedents & Process Development Assistant to join us 2 to 3 days per week to execute this important work. This role reports to our Managing Partner and offers unique exposure to the inner workings of a leading law firm. You will gain hands-on experience in precedent development, Smart Operating Procedures (SOPs), and process improvement, while working directly with most roles within our firm. For the right person, this role offers invaluable training and mentoring and an opportunity to learn best practices from specialists in Commercial Litigation, Business Law and Family Law. This is a permanent part-time role with a pathway to paralegal and graduate solicitor.

What You Will Do

  • Capture best practice drafts from our legal teams and turn them into accessible, standardised precedents in LEAP.
  • Apply our “System for Creating Systems” which was inspired by the book, SYSTEMology by David Jenyns to document key processes and translate them into Smart Operating Procedures (SOPs).
  • Develop supporting Checklists in SharePoint and ClickUp to make SOPs easy to find and apply in practice.
  • Provide training and support to colleagues in relation to finding and using precedents and SOPs effectively.
  • Assist with onboarding new employees in relation to precedents and SOPs, building competency in core systems, formatting, and file management standards.
  • Develop and maintain expert knowledge of core systems including LEAP, Clio, SharePoint, Outlook, and ClickUp.
  • Support teams during resource gaps and contribute to firm-wide initiatives that enhance efficiency and client service

What You Will Bring

  • You must be a 2nd or 3rd year law student (applications from 4th or 5th years will not be considered for this role).
  • No prior legal experience is required.
  • Strong technology skills and the ability to quickly learn new systems.
  • Common sense and initiative, with the confidence to problem-solve and suggest improvements.
  • Exceptionally strong attention to detail.
  • Strong interpersonal skills – with the confidence to work directly with all roles and levels within the firm.
  • Confident written communication skills and an interest in developing legal writing.
  • A disciplined, systematic approach to capturing information and applying structured processes.

Why This Role is a Great Opportunity

This role is ideal if you are interested in building a career in legal support and want to learn how a professional law firm operates.

You will receive training in legal systems and processes and gain exposure to how matters are managed from the very first client enquiry through to the progression of legal work. Many people start their careers in roles like this before progressing into Legal Assistant, Paralegal or other legal support roles.

This is a full-time position based in our Sydney office. As the role involves managing reception during business hours, it requires consistent full-time availability. For this reason, the role is not suitable for someone currently studying law at university and seeking part time work. However, it is an excellent opportunity for someone who has recently completed a Certificate in Legal Services or Business Administration at TAFE or is interested in completing one.

About the Role

As our Receptionist and Administrative Assistant, you will help create a welcoming and professional environment for clients attending meetings, mediations and appointments in our Sydney office.

You will also provide administrative support to the team and assist with the day-to-day coordination of the office. While this is a reception-based role, the focus is on greeting clients and supporting the team rather than answering telephone calls. Full training will be provided to help you learn our systems and processes.

Your responsibilities will include:

  • Greeting clients and visitors and creating a welcoming and professional reception experience
  • Recording client and enquiry details in Clio, our client relationship management system
  • Coordinating meeting room bookings and appointments using Microsoft Office
  • Assisting with filing and general administration in accordance with our Smart Operating Procedures
  • Using LEAP, our legal practice management system, to assist with administrative tasks
  • Managing incoming and outgoing mail and deliveries
  • Ensuring reception, meeting rooms and kitchen areas are well presented
  • Providing administrative support to the legal team where required

About You 

You do not need previous legal experience to succeed in this role. It is an entry level role. What matters most is your attitude, reliability and willingness. Ideally, you will possess:

  • A friendly and professional approach when interacting with colleagues and clients
  • Strong written and verbal communication skills
  • Excellent attention to detail and organisation
  • Confidence using Microsoft Office and learning new systems
  • The ability to stay calm and organised in a busy office environment
